Login

The Login page is where you sign in to your Obsidian Portal account.

When to use this page

Use the Login page when you want to:

  • sign in to the portal;
  • start a password reset;
  • register a new account, if registration is available for your environment;
  • continue to MFA setup or MFA verification when the portal asks for it.

Sign in

  1. Open the portal URL provided by your organisation.
  2. Enter your email address.
  3. Enter your password.
  4. Select Login.

If your details are correct, the portal opens the Dashboard. If your account requires another security step, the portal will take you to that step automatically.

Field guide

Field or control Required What to enter or select Notes
Email Yes Your registered work email address. This is the email address linked to your portal account.
Password Yes Your portal password. Passwords are case-sensitive.
Show/Hide Password No Select the eye icon to show or hide the password. Use this to check for typing mistakes before logging in.
Login Yes Select this button after entering your email and password. The button is disabled until required fields are completed.
Register New Account No Select this link if you need to create a new account. This may only be available where self-registration is allowed.
Forgot Your Password? No Select this link if you cannot remember your password. The portal will guide you through the password reset process.

Reset a forgotten password

Use this option when you cannot remember your password or need the portal to send password reset instructions.

  1. From the Login page, select Forgot Your Password?.
  2. Enter your email address.
  3. Submit the request.
  4. Check your inbox for the password reset email.
  5. Follow the reset instructions shown by the portal.

Register a new account

Use registration when you do not already have an Obsidian Portal account and your environment allows users to create one.

  1. From the Login page, select Register New Account.
  2. Enter a username.
  3. Enter your email address.
  4. Enter a password.
  5. Enter the same password again in Confirm Password.
  6. Select Register Account.

The portal checks the information you entered. If the details are accepted, the portal sends a confirmation code to your email address.

Username Yes A username for your portal account. Use a name you will recognise later.
Email Yes Your work email address. The confirmation code is sent to this email address.
Password Yes A secure password. The password must meet the portal password rules shown on screen.
Show/Hide Password No Select the eye icon to show or hide the password. Use this to check for typing mistakes.
Confirm Password Yes Re-enter the same password. This must match the Password field exactly.
Back No Return to the Login page. Use this if you do not want to register.
Register Account Yes Submit the registration form. The button is disabled until required fields are completed.

Confirm your registration

After registering, the portal asks for the email confirmation code. This proves that you have access to the email address used for the account.

  1. Open the email sent by the portal.
  2. Copy the confirmation code from the email.
  3. Paste or type the code into Email Confirmation Code.
  4. Select Confirm Registration.

If you did not receive the email, check your junk or spam folder first. If it still has not arrived, select Resend Confirmation Code and wait for the new email.

Confirm Registration Yes Submit the confirmation code. The button is disabled until a valid code is entered.
Resend Confirmation Code No Ask the portal to send a new code. A short cooldown may apply before you can resend again.

Set up 2FA

Two-factor authentication, also called 2FA or MFA, adds a second security step to your account. After your username and password are accepted, the portal may ask you to set up 2FA.

  1. Install or open an authenticator app on your phone, such as Microsoft Authenticator, Google Authenticator, or another app approved by your organisation.
  2. On the portal screen, find the QR code.
  3. In your authenticator app, choose the option to add a new account.
  4. Scan the QR code shown in the portal.
  5. Confirm that the authenticator app now shows an Obsidian Portal code.
  6. Select Completed in the portal.

The code in your authenticator app changes regularly. That is expected.

2FA setup field guide

QR Code Yes Scan this code with your authenticator app. Do not share the QR code with anyone.
Completed Yes Select this after the account has been added to your authenticator app. Selecting this moves you to the 2FA verification step.

Verify your 2FA code

After setting up 2FA, or when logging in again later, the portal asks for the current code from your authenticator app.

  1. Open your authenticator app.
  2. Find the Obsidian Portal account in the app.
  3. Enter the current code into 2FA Code.
  4. Select Verify.

If the code fails, wait for the authenticator app to generate a new code and try again. Make sure the date and time on your phone are correct, because authenticator codes depend on the device time.

Back If shown Return to the 2FA setup screen. This is mainly shown during registration setup.
Verify Yes Submit the 2FA code. If the code is correct, the portal completes the sign-in process.

After registration is complete

When registration, confirmation, and 2FA are complete, the portal signs you in or takes you to the next available portal screen.

Account without an assigned user group

This screen appears when the account has not yet been assigned to a portal user group.

If the portal opens the Dashboard, you can continue using the system. If your account needs administrator approval, you may see a waiting or information screen instead. In that case, contact your portal administrator if you are unsure what to do next.

What happens after login

Depending on your account status, one of the following may happen:

Result What it means What to do
Dashboard opens You signed in successfully. Continue using the portal.
New password page opens Your account requires a new password. Create the new password requested by the portal.
MFA setup opens Multi-factor authentication must be set up. Follow the MFA setup instructions shown on screen.
MFA verification opens The portal needs your authentication code. Enter the code from your authenticator app.
Forgot password page opens Your password must be reset. Follow the password reset instructions.
Confirmation page opens Registration is not complete yet. Complete the confirmation step.

If login fails

Check the following:

  • the email address is typed correctly;
  • the password is typed correctly;
  • Caps Lock is not turned on by mistake;
  • your account has been confirmed and approved;
  • your internet connection is working.

If login still fails, contact your portal administrator.
